Overview

AI PM Assistant for Jira is an AI-powered Jira assistant that transforms meeting transcripts into clear, actionable Jira work—automatically.

Designed for project managers, the app ingests transcripts from AI meeting note-taking tools and uses AI to identify action items, decisions, and updates. It then intelligently drafts Jira issues, updates existing tickets, and suggests comments—saving hours of manual follow-up after every meeting.

Project managers stay in control with a review-and-approve workflow. Suggested issues and updates are presented for validation before anything is applied in Jira, ensuring accuracy, accountability, and trust.

By turning conversations into structured Jira updates, AI PM Assistant for Jira helps teams move faster, reduce missed action items, and keep projects aligned—without extra admin work.

1. Installation Guide

Follow these steps to successfully install the Jira app in your instance.

1.1 Prerequisites

Ensure you have the following administrative permissions before starting the installation:

  • Jira Organization Administrator access or Jira Administrator access with the “Manage apps” global permission.
  • Access to at least one Jira Project.

1.2 Installation Steps

Ensure you have the following administrative permissions before starting the installation:

  1. Make sure that you are logged into your Atlassian Account associate with a site that you want to add the app to.
  2. Click Get App
  3. You will be prompted to choose a site and service to install the app on. Select the site of your choosing and make sure Jira is listed as the service.
  4. You app will be and available on your Jira Project Pages

2. Configuration and Setup

After installation, initial configuration is required to ensure the app functions correctly.

2.1 User Access Configuration

If the app requires a license key, follow these steps:

  1. Go to the Manage apps page. (Located on the left side menu, click the () next to Apps)
  2. In the list of user-installed apps, find Admin-Menu-AI User Access.
  3. Click on the app listing.
  4. Select Users from the list to grant access. (Click the box next to the username, it will change from No Access to Has Access)

    3. Usage Documentation

    This section details how users will interact with the AI PM Assistant feature set.

    3.1 Feature 1: Opening the App’s Project Page

    Purpose: Brief description of the feature’s primary function.
    How to Use:

    • Open any Jira Project
    • Locate the Project Pages at the top of the screen.
    • Find the Admin-Menu-AI tab. (If not shown click More +)
    • Open the tab, the app may take a second to load the first time.

    3.2 Feature 2: App Functionality

    This feature allows project administrators to tailor the app’s functionality for specific projects.

    1. There will be three selections on the left of your screen: Dashboard, Pending Changes, Approved, Rejected, and AI Text Summarizer.
    2. Click AI Text Summarizer
    3. Copy and Paste an AI generated meeting transcript pertaining to your current Jira Project intro the Text Box. This could be from any AI meeting transcription service so pick the one of your choosing.
    4. Click the Generate Summary and Create Jira Issue button.
    5. Wait for the results, it could take a few seconds for large transcripts.
    6. You will see a summary of the results and you can view them in more detail on the Pending Changes Page.
    7. You can choose to either Approve or Reject the changes.
    8. Approved changes will so up on you Jira Project as new issues or new comments
    9. You can filter and search by change type on the Pending Changes menu.

    3.3 Feature 3: Google Integration

    1. Navigate to the AI Text Summarizer page.
    2. Click the tab labelled Google Meet
    3. Click Connect Google Account.
    4. Follow the prompts to connect Google and accept the items in the Google Authorization Consent screen.
    5. Return to Jira and see that your Google Meet transcripts are available to be selected and loaded.
